Making Degree Audit Changes
After carefully reviewing an
audit, the adviser and the student may decide that changes need to be
made to the student's degree audit. It is essential that the audit
be kept up-to-date at all times. The following steps should be taken.

The adviser should record
these changes at the bottom of the degree audit (see information below).
It helps if each change is numbered.

The adviser needs to initial and date the changes.

The original audit with
the changes recorded (not a copy) should then be submitted to 102
Catt Hall.
Note:
Advisers are encouraged to make a copy of the audit before it is submitted
or to keep a log of when changes are submitted for review.
What happens to the audit in 102 Catt Hall?

The respective department
liaison will review the changes that have been submitted to ensure
that no college or university rules or regulations have been violated
and that everything is appropriately documented.

If everything is OK, the
liaison will initial and date the changes and submit them to be entered
into the degree audit system. If not, the liaison will contact
the adviser to discuss the changes.

The changes are entered
into the degree audit system by the LAS Classification Office.

The audit is stamped and returned to the adviser.
Types of Audit Changes

CHANGE
The change command is used when catalog, graduation date,
or program option needs to be modified.
CHANGE: Grad to S00
-
FORCE
A force will move a particular course to a particular location
on the audit.
FORCE: HIST 100- to 03 01 (Area 3, requirement 1)

SUBSTITUTE
A substitution will take a particular course and make the
audit think of it as a different course. Care needs to be taken
when using this command and usually requires approval from the department
of the course designator).
SUBST: MATH 100- for MATH 165

WAIVE
If the student has had a department requirement waived (by
an appropriate department representative or department curriculum
committee) or a college requirement waived (by Associate Dean Zora
Zimmerman), the audit will need to reflect the appropriate waiver.
WAIVE: 08 01
(Area 8, requirement 1 - often times a department orientation class)
Note: In
the graduation evaluators' eyes, waiving a requirement exempts the
student from that particular requirement, but does not exempt the
student from the credits associated with the waived course.
If the intent is that the student will not be held accountable for
the credits as well, a notation (see below) must be made to that effect.

NOTATION
In the case of waivers (and often substitutions), notations
should also be added to the audit to indicate who has authorized them.
A notation on the audit helps students, advisers, and graduation evaluators
better understand why certain changes have been made to the audit.
NOTATION: Dept will allow student to graduate with 32 crs in
major.

INDIVIDUAL REQUIREMENT
There are times when a requirement is waived, but the college
or the department determines that it's appropriate to create an additional
requirement for a student. An example of this would be if a
department waived a requirement, but not the credits associated with
the waived course. An individual requirement could be put in
place to make up the difference.

(Assuming 07 is the last requirement, 08 is selected. If there
is any question, just indicate to which area the individual requirement
should be added.)

DUAL
This option is used when a course needs to be listed in
two different areas. Courses in the Complementary Courses
or a Minor are often Dual assigned. The credits for the
course count only once in the total credits toward graduation.
DUAL: Math 166 to 09,01.
